Position Description

The Events Manager oversees all aspects of Orphan Outreach events and its fair trade artisan shop, Orphan Outreach Marketplace.

The ideal candidate has both live and virtual special event experience and is extremely organized and exceptional at both identifying and managing fine details. The candidate is results-driven and able to effectively make quick and thoughtful decisions under pressure. The Events Manager must be able to organize and direct volunteers, Orphan Outreach staff, and the Orphan Outreach leadership team to effectively execute each special event. The Events Manager must also engage our event committee members and donors to bring unity and excitement to upcoming special events.

The Events Manager also oversees the Orphan Outreach Marketplace, which partners to serve orphaned and vulnerable children by providing dignified work to international artisans. The Orphan Outreach Marketplace is a year-round online store and an in-person market hosted at Orphan Outreach’s Women for Orphans Worldwide(WOW) auxiliary chapter’s events and at various“Pop Up” markets throughout the year.


Manage Orphan Outreach Signature Events

  • Manage and execute all event logistics for Orphan Outreach’s signature annual events, the Children’s Hope Dinner(CHD) and the WOW auxiliary chapter in Dallas. This includes negotiating and managing vendor contracts, menu selection, audio visual company decisions and relationships, event rentals, entertainment booking and contracts, photographer coordination, on-site event support, event data entry, decor, creative aspects(including run of show and decorations), and other event production elements
  • Work with these events Chair’s and committee’s to create consensus and excitement for the events
  • Recruit Host and working committees for these events and organize and manage the Host committee kick-off events
  • Partner with Orphan Outreach internal event teams(Marketing, Development, Operations, etc) to design all marketing, program, and collateral offerings to effectively promote, drive ticket sales, and enhance user experience
  • Provide support to WOW auxiliary chapters in Houston and Andrews to execute and manage their annual fundraising events. Work with WOW chapter boards and committees creating consensus and providing logistical support in the execution, promotion and success of their annual fundraisers
  • Working with WOW leadership, develop tool kit for future WOW auxiliary chapters featuring best practices and fundraising examples
  • Manage solicitations of big board, raffle, and possible silent auctions for Children’s Hope Dinner and WOW Dallas events 
  • Recruit new sponsors for these events and engage with donors 
  • Manage and oversee the invitee lists, RSVP lists and table assignments for all signature events 
  • Work with the Database Coordinator to ensure all lists are accurate and maintain a current list of sponsorships for any upcoming event 
  • Provide updated event and table sponsor reports to executive leadership to assist them in recruiting table sponsors 
  • Recruit and manage volunteers to assist with events Manage event budgets, providing monthly updates 
  • Manage post-event recaps, gift entry, and thank you letters to all vendors and donors 
  • Lead post-event evaluation on all events, in order to gain insight, develop best practices, and determine future opportunities for growth and expansion

Manage Orphan Outreach Marketplace 

  • Support the Orphan Outreach Marketplace in conjunction with Pop Up opportunities and the WOW markets including booking and supervising Marketplace Pop Up opportunities
  • Oversee the day-to-day operations of the Orphan Outreach Marketplace
  • Work with the marketing department to promote the Orphan Outreach Marketplace and enhance user experience online
  • Oversee the Orphan Outreach Marketplace budget and evaluate product lines

Other Duties 

  • Assist department staff in meeting deadlines for various tasks and projects as required
  • Performs other duties as assigned


  • Must be a committed Christian; adhere to Christian principles and values.
  • Working knowledge of all Microsoft products.
  • Past work with databases, Slack, Dropbox and other computer technical expertise a plus.
  • Requires in-depth understanding of a comprehensive field of knowledge. Bachelor’s degree preferred.
  • Must have past experience in special events.
  • Must have an outgoing personality and enjoy working with people and getting them excited about being involved in special events and the Orphan Outreach Marketplace.
  • Must be able to take initiative and manage time efficiently.
  • Requires ability to organize complex tasks and plans and to be detail oriented; effective ability to create plans.
  • Requires ability to work under pressure and remain flexible as priorities change; ability to effectively communicate orally and in writing and speak in front of small groups.             
  • Requires ability to work under minimal supervision; must be self-motivated and able to motivate others; ability to exercise excellent professional judgment and maintain confidentiality.     
  • Must exhibit self-confident behaviors, secure with self and willing to give credit to others.
  • Requires ability to speak clearly and be understood in face-to-face interactions; to articulate with accuracy while speaking on the phone.
  • Requires ability to establish and maintain effective professional working relationships with staff, guests and outside agencies/organizations.
  • Requires ability to hear and receive verbal instructions, answer phones, return phone calls and communicate in situations with some background noise.                                                                                                                
  • Must speak, read and write English proficiently.
